Answers to what shop owners, distributors and collectors ask us most. For anything else, email us and a person replies.
General
Software for people who sell records. You scan your stock in with Discogs data, sell wholesale and retail from your own storefront, and get paid into your own Stripe or PayPal account. Collectors can use it to catalogue their records and buy from shops.
Record shops, distributors, wholesalers and labels. Collectors use it too, with a free account.
No. Vinylogix runs in the browser on desktop, tablet and phone. To scan barcodes, use your phone’s camera or a USB barcode scanner.
They join your storefront by request or by your invitation, browse your catalogue and check out from their cart, paying through Stripe or PayPal. When you take orders on request, those orders wait for your approval and you can add a discount as you approve. A request order reserves its copies while it waits.
Yes. Vinylogix fills in your records with Discogs data when you scan a barcode, enter a Discogs ID or search by artist and title. Your stock, orders, invoices and storefront run in Vinylogix under your own name.
Discogs
Vinylogix reads from Discogs and never writes to it. Scan a barcode or enter a Discogs ID and the release data fills itself in. Listings, orders and stock are never synced.
Nothing changes on Discogs. Your Vinylogix prices are your own and stock isn’t synced between the two, so if you sell the same copy in both places, you update the other side yourself.
No. Lookups by barcode, Discogs ID or artist and title work straight away, with nothing to log in to or connect.
No. Vinylogix never touches your Discogs listings, buyers or orders, and never contacts Discogs buyers.
Accounts & roles
Master is the owner, with full access. Workers are your staff, with the permissions you choose. Viewers are your clients: they browse your catalogue and place orders.
Only if you allow it. Purchase prices are protected at the database level. Viewing and editing purchase prices, selling prices, suppliers, orders, locations and financial figures are separate permissions per Worker, and Workers see and do in the app only what you allow.
That depends on your plan. The current limits are on the pricing page.
Send an invitation by email from your clients list. Clients can also ask for access from your storefront; you get a notification and approve or decline.
Use “Forgot password?” on the login page and we’ll email you a reset link.
Billing & payments
Pay-as-you-go has no monthly fee. You pay a platform fee only when you sell. Paid plans have a monthly price and a lower fee per sale. The pricing page shows the limits on records and team members per plan, and which plans include AI. Collectors get a free account. Current prices are on the pricing page.
New paid plans start with a 7-day free trial. Pay-as-you-go has no monthly fee, so it needs no trial. You can start selling straight away.
Connect Stripe or PayPal and your clients pay by card or with PayPal. Payments through Stripe Connect are paid out to your own Stripe account, and PayPal pays you directly. The platform fee for your plan is taken per sale.
You’re sent to Stripe, which asks for your business details, verifies your identity and takes the bank account for payouts. Stripe may ask for extra documents. Vinylogix never sees any of it.
Payment providers are required by law to know who they pay out to. It’s a one-off check that Stripe runs, and it protects you and your buyers against fraud.
You need a PayPal business account. You sign in through PayPal’s own flow and give Vinylogix permission to take payments for you. PayPal may ask you to verify your business.
No. When you take orders on request, you approve an order and the invoice goes to the client by email. The client pays you another way, and you mark the order as paid yourself.
Open the Subscription page in Vinylogix. It takes you to Stripe’s billing portal, where your plan and billing details live.
Security & data
Everything goes over HTTPS, card payments are handled entirely by Stripe and PayPal, and roles decide who on your team sees what. The Security page has the details, including what we have not done yet.
No. Buyers enter their card on Stripe’s or PayPal’s own pages. We keep the payment status and reference, never card numbers.
Shops download their stock, orders and clients as CSV from inside Vinylogix, any time. For any other data, including a collector account, email contact@vinylogix.com.
There’s no delete button in the app yet. Email contact@vinylogix.com and ask us to delete your account and data.
On Google Cloud, with Firebase for the database and sign-in.
